Karen Country Club, a renowned Members Club in East Africa and Central Africa, is currently in search of a Front Desk Agent to join our team.
Job Summary:
As the Front Desk Agent, you will play a pivotal role in handling the Club’s front office operations. Your responsibilities will include warmly welcoming and receiving guests, addressing their inquiries, managing the switchboard, and ensuring prompt and accurate payment processing following established procedures.
Duties and Responsibilities:
- Welcome members and guests in a professional and friendly manner.
- Provide essential and accurate information to members and guests, including basic account details and upcoming Club events.
- Handle member booking requests efficiently and promptly.
- Guide members and guests to the appropriate offices or personnel.
- Maintain a tidy and presentable reception area at all times.
- Professionally respond to emails received in assigned mailboxes, ensuring timely and courteous communication.
- Answer and screen incoming phone calls in a friendly and efficient manner, transferring calls to the relevant departments when necessary.
- Acknowledge and log all complaints received from members or guests, and follow up with the appropriate personnel or department.
- Receive, sort, and distribute mail and deliveries promptly.
- Assist members with bill payments.
Required Qualifications and Experience:
- Diploma in Front Office operations or Guest Relations.
- A minimum of 2 years of guest service experience in a reputable organization.
- Certification in Customer Service/Relationship Management.
- Experience working in a busy, professional business center.
- Proficiency in computer applications.
- Familiarity and experience with Fidelio OPERA Reservation System (ORS) or Jonas software, as well as front office operations.
- Basic reporting skills will be an added advantage.
Personal Attributes & Functional Skills:
- Proficiency in English and Kiswahili, both written and oral.
- Strong interpersonal and organizational skills.
- Presentable and well-groomed appearance.
