The Receptionist / Switchboard Operation Section shall under the direction, control and guidance of the Head of Chancery perform the following duties and responsibilities:
a) Managing multiple incoming phone lines for the Mission.
b) Receive and answer routine questions on various issues as may be asked by callers.
c) Forward telephone calls to relevant offices at the Mission.
d) Take Messages on phone and deliver to relevant officers.
e) Routing incoming and outgoing calls placed through Switchboard.
f) Ensure that international call requests have been approved by High Commissioner or Deputy High Commissioner before calling.
g) Connect all officers with outgoing calls to Nairobi and to the rest of Kenya Missions abroad.
h) Maintain database/list of international calls as required.
i) Keep a register of all members of staff telephone contacts.
j) Keep a register of telephone numbers for Kenya Missions abroad and Kenya Government Ministries, Department and Agencies.

The Pool Section Drivers shall under the direction and control of the Transport Officer in coordination with the Head of Chancery perform the following duties and responsibilities:-
a) Serve as driver for general movement of staff to various official meetings.
b) Pick Government of Kenya delegation from the airport, to the hotels and meeting venues.
c) Facilitate the movement of Government of Kenya delegation within the United Kingdom as may be assigned by the Transport Officer.
d) Ensure the Education vehicles are maintained to the acceptable UK standards to include timely servicing, MOT amongst others,
e) Timely report any vehicle defects to the education attache
f) Ensure the vehicle work tickets are duly authorised and completed.
g) Management and ensure safe custody of the Extra keys for education Section Vehicles.
h) Management and ensure safe custody of the education section Fuel Cards in close liaison with the education Adviser.
i) Ensure that the pool vehicles clean.
j) Facilitate and transport officers school going children.

- Caretaker of the Chancery
The Chancery Caretaker shall under the direction, control and guidance of the Head of Chancery perform the following duties and responsibilities:-
a) Monitor the flow of people coming in/out of the Chancery through the CCTV system.
b) Escort visitors to the respective officers if and when necessary.
c) Maintain order and law at the Reception of the Chancery,
d) Assist visa Section at the Reception when requested
e) Manage the entrance door to the Chancery
f) Maintain and keep reception/visitor’s book at the maintain entrance door,
g) Check and monitor the smoke detector/alarm intruder at the Chancery,
h) Walk in the entire chancery every evening after officer hours to check the windows, doors, portable heaters to ensure that they are either properly closed or switched off to avoid fire hazard.
i) Perform any other duties as directed by the Head of Mission or any responsible officer
The Chancery Caretaker is also responsible for conducting the following Maintenance duties:-
a) Changing light bulbs/fuses at the Chancery
b) Doing minor plumbing jobs at the Chancery
c) Polishing brass plates
d) Cleaning marble floor/door at the entrance
e) Checking lift motor room/car lift/heating panel room
f) Checking leaking water at the ceiling/lavatories/toilets
g) Tiding old visa forms/broken glass/rubbish
h) Spraying water at the front wall office to be cleaned after rain
i) Remove net curtains to be taken to dry clean and hang them when they are ready
j) After office parties make sure everything is in order.
k) Hoist the Kenyan flag daily

a) Daily co-ordination of security matters of the Mission under the guidance of Officer in-charge of Security at the Mission, Head of Chancery and High Commissioner.
b) Conducting regular patrols of the Chancery daily to ensure the security of the premises and members of staff.
c) Maintaining Access Control of visitors into the Chancery as well as ensuring no access by unauthorised persons to restricted areas of the Mission.
d) Monitoring of security system (CCTV) and equipment at the Chancery and High Commissioner’s Residence and reporting of any malfunctions and noted suspicious activities.
e) Monitoring and maintaining records (OB) of all daily occurrence and reporting the same to the immediate Supervisor or Head of Chancery.
f) Maintaining up-to-date daily records of all Members of Staff who are in and out of office.
g) Keeping up-to-date daily records of all visitors coming into the Chancery.
h) Maintaining records of all security systems, devices and equipment and notifying on their due date for repairs, servicing and maintenance.
i) Assisting the Officer in charge of Security in contacting the Diplomatic Protection Group (DPG) on matters relating to the Emergency Alarm at the Chancery.
j) Ensuring proper functioning of all Emergency Exits at the Chancery.
k) Monitoring and reporting on any acts of breaches of security at the Chancery.
l) Advising the Mission on matters of health and safety as well as available sensitization opportunities to the Mission on security policy and procedures in the UK.
m) Coordinate the opening and closing of the Mission as well as ensuring safe custody of relevant keys to the various offices at the Chancery.
n) Hoisting and lowering of official Flags at the Chancery as well as coordinating their cleaning.
Qualification/Requirements
1) KCSE certificate or GSCE certificate or equivalent
2) On-the job training or service in the discipline forces
3) Three (3) year experience
4) Recommendation for exemplary work performance

- Cleaner of the Chancery
Cleaner shall under the direction, control and guidance of the Head of Chancery perform the following duties and responsibilities:-
a) Conduct daily cleaning of common spaces at the Chancery
b) Maintain Cleanliness of the Mission utensils and kitchen
c) Ensure that monthly shopping of the common items used at the Chancery is done on time.
d) Move correspondences and files as may be required.
e) Prepare tea for the mission staff and visitors
f) Perform any other duties as directed by the Head of Mission or any responsible officer.
Qualifications/Requirements
1) KCSE Certificate C plain/ Equivalent GCSE Certification
2) Recommendation for exemplary work performance
3) Two (2) years’ experience
