SYSTEM ADMINISTRATOR- JOB GROUP L
This position is responsible for installation, upkeep, configuration and reliable operations and maintenance of business enterprise system for effective delivery of services in the Polytechnic.
Duties and Responsibilities
- Coordinate the automation process and user support activities to ensure effective delivery of the ICT services to the Polytechnic.
- Maintain and administer computer networks and related computing components such as computer hardware, system software, application software and all configuration to ensure system dependent institution operations functions as per SLA’S.
- Ensure that virus protection software is installed in all computers and are updated regularly.
- Perform regular diagnosis, trouble shooting and resolve hardware and software problems that may slow down or fail operations in the Polytechnic.
- Analyse information to determine, recommend and plan installation of new systems or modification of an existing system.
- Monitor and minimize software deviations through test routine system backups and restores to ensure optimum system.
- Conduct regular network and security audits to continuously manage systems security to avoid data loss.
- Assess, gather and analyses user needs and requirements and provide solutions on daily basis.
Requirements
- BSc in Information Technology or Computer Science or Computer Engineering from a recognized University.
- Minimum grade of B plain in KCSE
- 5 years’ experience as a system Administrator
- Professional certification in Microsoft Certified Systems Administrator (MCSA) and Cisco Certified Network Associate (CCNA)
- Proficient skills in hardware configuration not limited to firewall, routers, switches, wires and other essential equipment.
- Knowledge of IP addressing and some common networking protocols like IPv4 and IPv6.
- Knowledge in script language like python, pearl and PHP
- Experience with networks LAN, WAN) VLAN configuration and patch management
- Knowledge of system security (e .g intrusion detection systems)
- Skills to Manage and optimize the use of windows servers while backing up / recovering all the important data.
- Knowledge of databases and database servers like MySQL and Sql Server.

SENIOR INTERNAL AUDITOR – JOB GROUP N
This position is responsible to develop and monitor the implementation of the internal audit strategy, budgets policies and procedures.
The position co-ordinates the implementation of the internal audit work plan to ensure delivery of audit services that meet set timelines and quality standards.
Duties and responsibilities
- Co-ordinate the preparation of the audit budget to ensure sufficient allocation of resources critical for the timely implementation of the audit strategy.
- Develop an annual programme of audit review works, to ensure audit reviews are done in a timely manner for quality managemt purposes and compliance to the relevant statutory requirement.
- Present findings of audit reviews to management to assist in the implementation of strategies to address the issues or gaps identified.
- Report to the audit committee in relations to the adherence to the internal systems, Policies and procedures to avert risk that may arise.
- Co-ordinate the application of risk based approach to review the institutions systems and controls to identify any gaps in the management of risks and recommend the appropriate strategies.
- Monitor the implementation of recommendations to ensure appropriate interventions are implementation for any challenges identified in the implementation.
- Coordinate the training of users on risk management practices across the institution to ensure the organization is aware of the rules and regulations governing risk at all times.
- Conduct internal checks across all the Polytechnic Departments in order to migitate any risks that might expose the Polytechnic.

INTERNAL AUDITOR -JOB GROUP M
This position is responsible for conducting routine audits and assist in investigation as per the approved internal audit work plan in order to evaluate the effectiveness of internal controls in various department/section within the Polytechnic.
Duties and Responsibilities
- Analyse the institutions financial documentation and reports to identify audit issues to be addressed.
- Monitor management implementation of audit recommendations to ensure gaps in implementation are identified and appropriate interventions.
- Communicate any loopholes within the Polytechnic structure and recommend appropriate solutions to ensure minimum disruptions to business operations from an unsupportive structure.
- Assess and research the institution risk management process sustainability and record the results in order to make recommendations on possible enhancement to the process
- Prepare audit reports that reflect Polytechnic’s audit results for review and presentation to the management.
- Prepare a memorandum of audit finding to ensure adequate documentation exists to support all the complete audits and conclusions.
- Assess all the Polytechnic’s internal control procedures and security for the systems which are under development and upgrade them to current versions for enhances efficiency and ease of use.
- Train other audit staff on the use of computerized audit techniques and methods for ease in the use of the techniques.

AUDIT ASSISTANT- JOB GROUP H
This position is responsible for the update and substantiating of the Polytechnic accounting records, substantiate records posted by other staff and to check all figures and documents to ensure they are accurately and properly coded.
Duties and Responsibilities
- Record all the Polytechnic’s financial information and update information to ensure the audits conducted are well informed.
- Receive and record bank checks and cash vouchers so as to code them in the Polytechnic system for future reference.
- Prepare and calculate all Polytechnic’s checks meant for taxes, payment and other utilities to bring together the bank transaction records.
- Update the institution balance, status of its loans and accounts to ensure all payments are current and accurate for the preparation of accurate financial statements and t support informed decision making.
- Verify the accuracy of calculations, Postings and figures of the institution transactions to ensure the financial records are clean

SENIOR ACCOUNTANT – JOB GROUP L
This position is responsible for management of the accounting system to ensure efficiency and effectiveness in delivery of financial services to user departments.
Duties and responsibilities
- Coordinates the preparation of final accounts and statements to present the fair view of financial status/position of the polytechnic.
- Interpret financial policies and regulations to enhance sound accounting decisions and compliance to the statutory requirements/regulations.
- Coordinate the administration of statutory accounts to ensure full compliance with laws and regulations, in order to reduce risks from non-compliance.
- Maintain accounts records for accountability purposes.
- Coordinate preparation of timely and proper bank reconciliation statements to show the correct liquidity of the Polytechnic.
- Monitor and control the Polytechnic’s expenditure as per the allocated budget for accountability purpose and to ensure that there is no misuse of funds.
- Monitor the Polytechnic’s cash flow to ensure availability of funds at all times, to support smooth operations in the institution.

This position is responsible for co-ordination of revenue, management and reconciliation accounting to ensure the delivery of quality and timely accounting services.
Duties and Responsibilities
- Verify vouchers and committal documents in accordance to the set requirements and guidelines to ensure compliance.
- Capture data and posting to primary record books/document i.e. cash books and ledger.
- Prepare information to banks on all the institution’s payments to ensure the banks discharge funds as appropriate to correct bank account.
- Account for all expenditure and ensure that it is within the policies and procedures of the institution to provide transparency and integrity in the process.
- Prepare information on payment claims to ensure approval is supported by relevant documentation to enhance integrity, efficiency and effectiveness in the payment process.
- Provide reports on the Polytechnic’s budget performance to ensure gaps in performance are identified and appropriate strategies developed and implemented in a proactive manner.
- Produce periodic cash flow and forecasting reports to advice on the availability of funds critical for the implementation of the Polytechnic budget
- Prepare accurate year-end financial statements to assist with the preparation of financial statements, and with planning for resources.
- Process payment in a timely manner and in line with the Polytechnic’s policies and procedures, to ensure minimal disruptions of its operations due to non-payment.

This position is responsible for preparation of payment to creditors and to maintain records of debtors as well as to provide assistance to other departments in preparation of financial management reports.
DUTIES
- Prepare payment vouchers to ensure payments are made in a timely manner for minimal disruptions to business operations.
- Enter financial data of all the Polytechnic’s transactions and routine accounting works such as balancing of cashbooks, ledgers and imprest.
- Ensure safe custody of the institution’s accounting records for reference purposes to enhance easy retrieval of the information when preparing statements.
- Monitor payments to creditors i.e. suppliers and maintain its records.
- Update the creditor’s accounts to provide timely, accurate and complete information for efficiency in the management of the institution’s creditors.
- -Prepare imprest to enhance business efficiency and effectiveness due to ready availability of resources required for the Polytechnic’s operations.

HR AND ADMIN ASSISTANT- JOB GROUP J
This position will provide assistance in supervision of staff in the various administrative support areas and promote staff welfare.
Duties and responsibilities
- Provide assistance in the implementation of Human Resource Management and Administrative policies
- Coordinate office services in the Polytechnic to ensure operations run smoothly
- Assist in supervision of administrative service areas including catering, boarding, secretaries and transport to ensure operation in the Polytechnic are carried out smoothly.
- Draft letters for review approval and validation by the Human Resources Officer.
- Record data for each employee which include information on absences, supervisory reports on performance to ensure accurate data is maintained.
- Gather and compile all information relating to training needs from all departments to facilitate proper planning of training programmes.

Welding Technician (Re- Advertised) -JOB GROUP F
This position is responsible for provision of technical support to the Departmental Head and trainees, contributing to students learning experience by assisting with the preparation of materials and apparatus for practical work.
Duties and responsibilities
- Provide support to trainers and trainees in solving technical problems and practical’s.
- Maintain workshop inventories by receiving, issuing tools and materials in the workshop and ensure sufficient materials in the workshop.
- Observe and ensure health and safety procedures are practiced and enforced and accidents reported to the section head.
- Requisition for consumables to ensure they are replenished in timely manner and organize in a way that they are easily traced.
- Prepare maintenance schedule for all the workshop equipment for approval by section head and maintain requisite records on servicing schedule on various equipment and machinery to ensure the schedule is adhered to.
- Advise the section head on the budgeting requirement of the workshop to ensure that all the requirements of the workshop are budgeted for
- Segregate non-financial equipment and machinery to promote safety on the workshop
- Provide procurements specification for workshop equipment to be purchased to ensure purchase of the correct equipment/machinery
- Report breakdown of machinery and equipment to the head of the section to advise on replacement needs.
Requirements

MAINTAINANCE TECHNICIAN- JOB GROUP F
This position is responsible for coordination of the day to day operations in the Polytechnic to ensure conducive and optimal utilization of the institutions facilities.
Duties and Responsibilities
- Assure prompt and timely completion of assigned work orders by efficiently directing the appropriate personnel to various jobs
- Provide technical assistance to maintenance and custodial crews
- Use hand and power tools necessary to perform the duties assigned in a safe manner
- Assure cost effective operations through proper care and maintenance of
Equipment, tools, materials and supplies
- Performs basic maintenance such as repairing walls floors, painting and exterior maintenance.

TECHNICIAN- HOSPITALITY DEPARTMENT JOB GROUP J
This position is responsible for the provision of support routine duties in the workshop to ensure that the operations are running smoothly.
Duties and Responsilities
- Requisition workshop consumable to ensure they are replenished in a timely manner to ensure laboratory operations run smoothly.
- Advice the section head on the budgeting requirement for the laboratory to ensure that all the laboratory requirement are factored in the budget to promote smooth trainings.
- Maintain all requisite records on the use of various laboratory equipment and chemicals for accountability and future reference.
- Perform demonstrations and provide technical support to the trainees during practical’s.
- Ensuring that all health and safety procedures are understood and followed correctly in the laboratories.
- Segregate non-functional equipment and machine to ensure safety in the laboratory.
- Report any breakdown of equipment to the section head for purposes of decision making on replacements.
- Supervise cleaning of the laboratory and equipment therein to ensure efficient operation of the laboratory
- Keep up to date with relevant scientific and technical developments that will save on time and improve reliability.

ELECTRICAL TECHNICIAN – JOB GROUP J
This position is responsible for provision of technical support to the Departmental Head and trainees, contributing to students learning experience by assisting with the preparation of materials and apparatus for practical work.
Duties and responsibilities
- Lay out, build, test and troubleshoot electronic and electrical components, equipment and units.
- Perform inspections on electronic equipment and components to determine problems and need for troubleshooting.
- Troubleshoot and repair mechanical, hydraulic, pneumatic and electrical systems including controls, power supplies and test equipment.
- Install, start up and shut down equipment and units to test their functionality according to the polytechnics protocols.
- Assemble electronic systems based on established technical specifications and ensure that correlating repair and maintenance needs are fulfilled.
- Create cable and wiring connections in a safe and accurate manner, and perform regular inspections to identify defects and replacements.
- Provide recommendations for upgrades and modifications to improve system performance.
- Develop prototypes to provide feasibility analysis and conduct correlating product presentations
- Create and maintain inventory of tools and equipment required for testing and repairing purposes.

This position is responsible for ensuring that the Students facilities meet the set standards.
Duties and responsibilities
- Take responsibility with other members of the Deans office for supervising students.
- Maintain close liaison with the Polytechnic Management at all times concerning students issues.
- Ensure that the buildings, halls and hostels are used for the right purpose.
- Report repairs required immediately to the Estates and Maintenance Department.
- Participate in a programs of continual risk assessment within the Polytechnic as required by Health and Safety guidelines.
- Maintain close liaison with the Dispensary at all times concerning students medical provision.
- Monitor standards achieved by cleaners and other support agencies within the Boarding Department and report on any deficiencies to Operations.
- Undertake such other duties as the Dean of students may reasonably require.
